**Exhibitors are welcome to make a choice to stay set up until conference ends or breakdown after 1:00 PM. Exhibitors who depart prior to 1:00 PM will NOT receive a deposit refund.

***Meals for exhibitors and sponsors are not included with the exhibitor space. Hotel dining or nearby dining may be available at the exhibitor's expense, or the exhibitor can purchase a box lunch ($75 each) to be delivered to the exhibit space by the hotel.

BENEFITS OF EXHIBITING AT THE LONE STAR DENTAL CONFERENCE

1. Exhibit Space: You will receive an approximate 6’x 6’ space in a high-traffic area outside of the conference general session. A 6’ table and two chairs are provided at no extra cost. See the diagram below for available locations.

6. Exhibitor Loyalty Credit: 2026 Lone Star Dental Conference exhibitors who return in 2027 will be awarded a $100 Loyalty Credit. To be eligible, you must complete a prospectus to join us as an exhibitor for 2027 Lone Star Dental Conference. This credit will be applied to your exhibitor fee for 2027.

Consent to Use of Photographic Images
By entering this program, you are entering an area where photography, audio and video recording may occur. Your entry and presence on the event premises constitutes your consent to be photographed, filmed, and/or otherwise recorded and to the release, publication, exhibition, or reproduction of any and all recorded media of your appearance, voice, and name for any purpose whatsoever in perpetuity in connection with Texas AGD and its initiatives, including, by way of example only, use on websites, in social media, news and advertising.

By entering the event premises, you waive and release any claims you may have related to the use of recorded media of you at the event, including, without limitation, any right to inspect or approve the photo, video or audio recording of you, any claims for invasion of privacy, violation of the right of publicity, defamation, and copyright infringement or for any fees for use of such record media.

You understand that all photography, filming and/or recording will be done in reliance on this consent. If you do not agree to the foregoing, please do not enter the event premises.

Cancellation Policy

Payment must be received in full within 15 days of completing this form, AND before the conference. Space availability is subject to change at any time. Texas AGD is not responsible for prior company promotion without payment in full. Contracts that are received closer to conference time are subject to limited promotions. Cancellations must be submitted in writing to Texas AGD, and received by August 1, 2026 or no refund will be issued. Written cancellation notice must include the date and signature of the person cancelling. Cancellations processed through May 31, 2026 will receive a 65% refund; Cancellations processed between June 1 - July 31, 2026 will receive a 50% refund. In addition, all cancellations are subject to a 20% processing fee. Exhibitor companies assume all risk and liability for the security of supplies and/or equipment in the exhibit area or in storage. Texas AGD is not liable for the security of supplies and/or equipment in the exhibitor area or in storage. Statement of Purpose: The program is for scientific and educational purposes only and will not promote the products of any company directly. Control of Content & Selection of Presenters and Moderators: Texas AGD is responsible for control of content and selection of presenters and moderators. The company agrees not to direct the content of the program. The company, or its agents, will respond only to Texas AGD- initiated requests for suggestions of presenters or sources of possible presenters. The company will suggest more than one name (if possible); will provide speaker qualifications; will disclose financial or other relationships between the company and speaker, and will provide this information in writing. Texas AGD will record the role of the company or its agents. Deposits: A refundable deposit of $100 will be charged to all exhibitors. To receive a deposit refund, company’s exhibit space must be staffed during entire conference as listed in the exhibitor kit schedule. Exhibitors who depart early will not receive a deposit refund. Deposit refund checks will be issued to the company name/address listed above within 90 days following the conference. No credit will be kept on account to carry forward to the following year.
